Backing up your data regularly is a best-practices recommendation that you might have heard a hundred times before without ever being told how or why you should do it. The reason you need to back up your data is very simple: You can’t afford to lose it.

Whether we’re talking about your website, your e-mail marketing list, product photos, or market research, you’ve spent time and money to collate that information.

But not everything needs to be stored the same way, or for the same length of time. (Refer to your GDPR or privacy agreements.)

At a minimum, you should have: 

  • A backup of your entire website, which you or your OBM can download from your website’s host. 
  • Your e-mail marketing list, ideally in a document that can be easily and quickly updated.
  • Backups of all client agreements and other legal documents.
  • Receipts related to your business expenditure.

If you’re unsure if you should back it up, we recommend backing it up just in case. You can always get rid of it later.

There are a few different ways you can back up your data, and ideally, you should use more than one. Think of it like locking your front door and setting the alarm. 

Here are the most common (and recommended) backup options:

  • Cloud Storage: An online storage solution where your files are kept safe and accessible from anywhere.
    • Some platforms also offer built-in backup features that run on a schedule, saving you the job of remembering.
  • Physical Storage: Such as flash drives or external solid-state drives that you can physically store somewhere secure.

Each has its benefits, and the best approach is to combine them for added security.

Cloud storage has become a big business over the last decade, and there are plenty of options to choose from. Many of our clients use Google Drive, Microsoft 365, iCloud, Dropbox, or a combination of the above.

For some businesses, a free option will be just fine. But if your business deals with a lot of content like photos, videos, and audio files, you’re probably going to need to upgrade. For teams where multiple members work remotely and need to access the same documents, it’s a must-have.

Once you’ve chosen your cloud storage solution and set it up, you can usually set it to auto-update and automatically back up new data. You can also manually add files and folders as needed.

Physical data backup storage might sound old-school, but it’s still one of the best ways to protect your business’s most valuable assets. 

Depending on how much data you need to store, you could either use a flash drive or a solid-state drive. One major advantage of flash storage is how compact it can be, which can also make it a bit of a liability for some people. On the other hand, solid-state drives are more expensive to purchase, and are about the size of a deck of cards. 

To use a physical storage device, you’ll need to plug it into your computer and transfer files manually. 

The absolute best option for backing up your data is combining two different solutions, and keeping them both up to date. Choose one cloud storage solution and at least one physical storage option. 

Cloud storage is quick and easy to set up, and requires no additional physical pieces of hardware, so if you have zero backup solutions in place right now, that’s the place to start! 

There’s really no reason to pay for more than one cloud storage solution, unless you want to use one for personal data and one for business. You might, however, want to have multiple physical storage options for both ease and security.

In case you’ve been politely ignoring those Windows pop-ups (no judgement), here’s the deal: Windows 10 will stop receiving security updates from 14 October 2025. That means no more patches, no more fixes, and a lot more vulnerability. If your business still relies on Windows 10, it’s time to take action, starting with backing up your data regularly.

When those updates stop, your system becomes a much easier target for cyber threats. Backups can be the difference between a minor inconvenience and a total disaster.

If you’re planning to stick with Windows, the best move is to upgrade to Windows 11, assuming your device can handle it. If it can’t, you’ve got two options: invest in a new machine or look into Microsoft’s Extended Security Updates to buy yourself a bit of breathing room. Whichever route you take, back up your data first. Seriously. You don’t want to go through all that effort only to realise your files didn’t make the journey with you.


Backing up your data might not be the most glamorous part of running a business, but losing your hard-earned work is even less fun. Taking the time to get your backup system in place gives your business an extra layer of protection and gives you peace of mind.
